Email has been used since well before the Internet started to see widespread public use in the late 1990s. In the past decade, email support clients have grown to support HTML (Hyper Text Markup Language)-formatted email in addition to the traditional text-formatted email. The use of HTML and URLs (Uniform Resource Locators) in the context of email creates a richer user experience by using imagery and references to support material to be received by friends, family and consumers. No special software has to be bought or downloaded in order to use HTML or URLs in the body of an email with most email services. From web client-based emails such as Google's Gmail to Microsoft's email client program, Outlook, HTML format can be selected for use for both sending and receiving email.

Step 1 : Log into your Gmail account and select the "Compose Mail" menu option.

Step 1 : If you're already getting spam messages, check with your Internet service provider to see whether it has a spam-prevention option that scans your incoming e-mail for known spammers.

Step 2 : If you're lucky enough not to be getting spam now, then sign up for a second (free) e-mail address from a service such as Yahoo or Hotmail. Use this address exclusively for e-commerce, mailing-list subscriptions and bulletin-board postings of any kind. Reserve your main e-mail address for private e-mail to and from friends.

Rule filtering

Step 1 : Setup email folder called Suspected Spam.

Step 2 : Use the filtering feature in your e-mail program to create rules that redirect spam messages to your Suspected Spam folder. Most spam is not addressed to its recipient by name.

Step 3 : Define a rule for incoming mail that says, "If my name appears in the To: or cc: field, then move this message to the Inbox." The procedure for defining rules varies among e-mail programs, so you should consult your program's Help feature to learn exactly how this works.

Step 4 : Define individual rules to catch e-mail that isn't addressed to you personally but that you nevertheless want to receive, such as messages from lists you've subscribed to. Have these rules redirect the relevant messages to the Inbox or to special folders that you have created for mail from those sources--for instance: "If the Sender field includes 'MyList,' then send this message to the MyList folder."

Step 5 : Define a final rule that sends all other e-mail that hasn't already been redirected by one of your other rules to the Suspected Spam box. For instance, a rule that says, "If the Sender field isn't 'XYXYXYXYY,' then move this message to the Suspected Spam folder" would work as a catchall.

The real lesson to be learned here is be extremely cautious with your email. Think about it. Virtually everything online is linked to your email account.

Are you equally vulnerable?

All of us keep both personal and company information online, ranging from mundane Facebook postings to critical financial access, such as bank or Paypal logins. Many of these sites are very secure in and of themselves, but access to an email account can bring all the dominoes tumbling down.

Is login info to other sites sitting in an email you sent or received? Are the passwords to more secure sites the same as your email account? Could a hacker reset the passwords to other sites with access to your email?

A compromised email account can be the backdoor to information a hacker couldn't get at any other way.

How not to fall into the Twitter trap (or is that twap?)

Put a strong password on your email and webmail accounts.
Be cautious in what you link to a webmail account with a major provider (Gmail, Hotmail, Yahoo, etc.). These are not inherently unsafe, but they are big targets.
Never email login credentials to co-workers or vendors. You don't want that info residing in your (or their) email account.
Have unique passwords for secure sites. Never reuse your email password.
Change your passwords regularly. I know remembering all of them is a major headache, but strong passwords written on a piece of paper in a locked desk drawer are more secure than the same password on every site.

Tip:- If you have more than one Web browser installed, you can hide links to those browsers from the Start menu, the Windows taskbar, and your desktop by clearing the Enable access to this program check box.

How to configure an AOL e-mail account in Outlook Express

This article describes how to configure Microsoft Outlook Express to connect to an America Online (AOL) e-mail account.Until recently, AOL’s e-mail technology was not compatible with Outlook Express. AOL has now made it possible to configure later versions of Microsoft Outlook, Outlook Express, and Microsoft Entourage to use AOL e-mail accounts.

AOL uses the Internet Message Access Protocol (IMAP) protocol for incoming mail and Simple Mail Transfer Protocol (SMTP) for outgoing mail. To configure Outlook Express to connect to an AOL e-mail account, follow these steps.

Step 1: Add the AOL e-mail account
To add an AOL e-mail account in Outlook Express, follow these steps:
1. Sign on to AOL.
2. Start Outlook Express. If Outlook Express is not your default e-mail client, you may be prompted to specify if you want to use Outlook Express as your default e-mail client. To select Outlook Express as your default e-mail client, click OK.
3. If you are prompted to type your name in the Display name box, click Cancel, and then click Yes when you receive the following message:
The new Internet account has not been created yet. Are you sure you want to exit the wizard?
4. In Outlook Express, click Accounts on the Tools menu.

06. In the Display name box, type your name as you want it to appear on your outgoing e-mail messages, and then click Next.

HTML emails are therefore more likely to trigger spam filters. According to email deliverability expert Dori Friend, you should NEVER use HTML email. Dori's advice is supported by some studies.

A 2004 study by AWeber.com shows that plain text messages are undeliverable 1.15% of the time and HTML only messages were undeliverable 2.3% of the time.

But on the other hand we have seen tests were they changed from html to plain text and the open rates dropted with over 15%.

The whole Text vs. HTML email problem is still widely debated in ecommerce circles and the best advice we can give you is to test it out on your own.

Test and determine what works best for your customer base. Your test results will always be your most reliable source of information.

Here are some things to consider when making your decision:

· Over 95% of customer email clients are capable of receiving HTML emails. The compatibility rate will continue to increase. Few outdated email clients cannot display HTML, but you can pretty much bet that the majority of your customers will have newer versions of email clients.

· A surprisingly large portion of the population still uses dial-up to connect to the internet. This creates a longer load time for HTML emails.

· Spam filters are becoming increasingly sophisticated and often block HTML emails since most spam comes in that format. Work related and personal emails are generally in text and do not have delivery problems.

· HTML file sizes are typically larger than text emails and might therefore automatically get transferred to a user's Bulk/Junk or Trash folders. Aim to create HTML emails less than 24k in size.

Text has limited formatting features when compared to HTML, but it does not necessarily mean it is less effective. Whether you use Text or HTML, be sure to follow these formatting rules.

Tips for Formatting Text Emails:

· Use a text editor such as Notepad or WordPad when formatting your emails. Do NOT use Microsoft Word as it embeds a lot of formatting bugs that make it difficult to work with and results in errors on the recipients' ends.

· In text emails don't make the text bold, italicized, colored, or centered. Instead you can use CAPITAL letters for the words or phrases that need emphasis.

But don't go overboard; too much capitalization is difficult to read, gives the impression of yelling, and resembles spam. In fact many spam filters will deduct points for every CAPITALIZATION.

· The width most email clients can properly display is 65 characters (including spaces). Use a hard return (i.e. press the "Enter" key) every 60 characters or so. Remember that spaces count too. Exceeding 65 characters runs the risk of your recipients seeing awkward line breaks or cut off sentences.

· Create your text email first in Courier font and then in Arial. These are the most commonly used display fonts by email clients. Adjust line breaks and "white space" (i.e. the space between paragraphs). Your message will not look the same in both fonts, so do not stress over it. Concentrate on perfecting the format in Courier.

Tips for Formatting HTML Emails:

· Use an HTML editor like Dreamweaver and take advantage of all the easy to use formatting options. Here you can play around with the text alignment, font size, colors and more, and you don't even need to know HTML!

· Just as with text emails, HTML emails should not exceed a specified width. Wrap your message in a table no wider than 420 pixels. Your message may get cut off or not print properly if your table width is too large.

· Try to avoid using images. People with slow connections will have a hard time downloading them and those viewing your message offline will not see them at all, which could appear unprofessional on your part.

· Some email clients like Gmail initially don't show images, so make sure your messages are readable with or without images. We understand that images can be an essential component of your message, and if that's the case, then be sure to compress your image files properly.

· Use your formatting options tastefully. HTML allows you to make text bold, italicized, and underlined. You can use color and embed hyperlinks rather than use long URLs. You have a lot more ways to make your message visually appealing, however you want to be careful not to go too far.

Fortunately, a number of free online resources help with the hunt.

You've probably heard of search engines such as Yahoo!, Google, and Ask.com. There are literally dozens of these tools to help you locate what you're looking for. The trick understands how they work so you can use the right tool for the job.

Search engines break down into two types: directories and indexes. Directories, such as Yahoo!, are good at identifying general information. Like a card catalog in a library, they classify websites into categories, such as accounting firms, English universities and natural history museums. The results of your search will be a list of websites related to your search term. For instance, if you are looking for natural history museums, you might use a directory to find it.

But what if you want specific information, such as biographical information about Leonardo da Vinci? Web indexes are the way to go, because they search all the contents of a website. Indexes use software programs called spiders and robots that scour the Internet, analyzing billions of web pages, newsgroup and blog postings, and indexing all of the words.

Indexes like Google and MSN Search identify the text on individual pages of a website that match your search criteria, even if the site itself has nothing to do with what you are looking for. You can often find unexpected gems of information this way, but be prepared to wade through a lot of irrelevant information too.

Now let's try using Google, an index-based Search engine. Once again, enter "San Francisco cable cars" in the search box. The Google Search results in over 1.5 million documents that match the search terms. Life is too short to comb through all these. The reason for this enormous list is that Google turns up every document that contains the words "San," "Francisco," "cable," and "cars."

To search for documents that contain just this phrase, use quotation marks around the terms ("San Francisco cable cars"). Doing this result in about 46,000 documents. Fortunately, Google smartly ranks sites in order of relevancy and popularity, so the first few have information about schedules.

But even better, try entering "San Francisco cable car schedule". Bingo! Now the list includes just 10 sites. As you can see, the more specific you can be with your search query, the more focused the results.

Ask.com uses a technology called natural language query, a fancy way of saying that you can ask your question in plain English. By typing a question like "What is the San Francisco cable car schedule?" you get a list of related pages. Once again, you will have to go to the site, but in this case, it's a no-brainer as one of the choices is "San Francisco Municipal Railway."

Bear in mind that websites tend to change often. These changes are not always reflected in the search engine database, particularly for directories. Typically, websites are registered with search engines when they first go online. After that, changes are not reported generally. In the last few years, social networking sites have exploded, allowing millions of people around the world to meet and hang out together. Hundreds of millions of people have joined community sites. Among certain age groups, not having an online presence is almost like not existing!

Creating a personal page can be as simple as entering a few details about yourself, or spending hours building an electronic incarnation of your inner thoughts and interests. Typically, your profile page is a work in progress, updated as often as you wish.

Be aware that just as some unsavory characters hang out at the mall looking to prey on unsuspecting people, the same is true in cyberspace. We'll give you some tips later to keep you self.

How to work Online Networking

First, set up an account, which is usually free. Some sites have age restrictions and are only available if you are 13 or older; some, like Myspace, are open to anyone that wants to join, while others, like Facebook, are restricted to college students. So before posting a profile, think about your purpose. If you want to discuss pop music, MySpace may be right for you, but if you're interested in professional networking, consider LinkedIn.

Once your account is open, you create a personal page by entering your profile and uploading content. Your page tells the world all about you and your interests. A personal page can include photos of friends, family and pets, favorite music groups, songs, and videos. The only limit is your imagination and common sense--more on this in a moment.

Having an online profile is a terrific way to express yourself and to find people that share similar interests. Once you find a kindred soul or she or he finds you, you communicate via e-mail or instance massaging . Sometimes people agree to meet in person, but many times, relationships remain virtual.

Viruses, worms and Trojan horses are human-made software programs created specifically to wreak havoc on Personal Computers and networks. The chance of contracting one of these computer viruses over the Internet has increased dramatically. In fact, unless you run anti-virus software, your computer will almost certainly become infected. Typically, you get a virus by opening infected e-mail attachments.

Some viruses are relatively harmless to individuals. They just attach themselves to outgoing messages or e-mail themselves to all the contacts listed in your address book. The sudden flood of e-mail overwhelms mail servers, causing the system to crash.

Other viruses are more destructive and may lie dormant until a certain date. Then they spring to life to do their dirty deeds. Sometimes a strange message appears on your screen, or data and programs may be modified. In the worst case, all the files on your hard drive may be wiped out. These pernicious programs start on one computer, then replicate quickly, infecting other computers around the world.

In 1988 a student at Cornell University sent out a virus out by accident, infecting more than 6,000 computers in minutes, nearly bringing the Internet to its knees. More recently, the "I Love You" virus caused over $1 billion in lost productivity as it crippled e-mail systems worldwide. Last year alone, 10,000 new viruses, worms and Trojan horses were unleashed.

The initial antivirus installation was straightforward and pain-free. It recognized a previous antivirus installation of Norton Internet Security and dutifully uninstalled it before proceeding. Conferencing can take many forms, such as videoconferencing, audio conferencing, multimedia conferencing, screen-sharing, and to a lesser extent, what is referred to in Web parlance as chat. The cost of implementing these types of systems can run less than US$50 per computer and is available for Windows, Macintosh, Linux and UNIX operating systems Support.

Videoconferencing

Let's say you want to assemble a geographically dispersed group of people for a brainstorming session. Conference programs, such as the Microsoft's NetMeeting, allow virtual workgroups to communicate via the Internet; participants see each others' faces in small windows on their monitors and hear their voices on computer speakers. You can use video and audio simultaneously, just audio, or use the screen-sharing capability to collaborate on documents without either audio or video.

To videoconference, you'll need a digital video camera. Color webcams now sell for less than US$50. Some laptop computers have built-in webcams.

Conferencing can be done one-to-one, one-to-many (called multicast), and many-to-many (called multipoint). Most conferencing software is built on open industry standards so that a dial-up connection is enough to get you in the game. However, broadband connections give far better results.

Gopher, FTP, WAIS, Archie, Veronica, Jughead. What do all these strange terms mean? Basically, these are older tools or network services that represent different ways of searching and retrieving files on the Internet. With the development of the World Wide Web, you really don't need to know the gory details of how to use these anymore, but in case you're interested, read on.

Gopher is an application that organizes access to Internet resources using a menu-based search and retrieval system. It indexes the many databases, online library catalogs, bulletin board systems and campus-wide information services available on the Internet, by subject, type of service, or geographic location. While you are "sniffing" around Gopherspace, you are actually doing things that are not obviously visible to you, like transferring files, changing directories, connecting to computers and querying servers all over the world.

Gopher automatically takes care of finding whatever data you want, no matter where it is. You may use a dozen or more different Gopher servers in a single session, but you hardly know it. You need a Gopher client program to run Gopher, but if you don't have one, there are public Gopher sites that you can telnet to. When you get there, you log in as Gopher and then you can run its Gopher client program to do a search.

FTP stands for File Transfer Protocol, which is a widely used method of copying files from one system to another on the Internet. With FTP you can list the files in a directory and upload or download files to and from that directory.

The transfer of publicly available information is one of the most widespread uses of the file transfer capability on the Internet. Many organizations connected to the Internet provide openly accessible file transfer sites with information that anyone can obtain. Files are stored in "open" areas of computers. You access them by using FTP to connect to those systems. These are called Anonymous FTP sites because to access them you log in with the word anonymous, and use your e-mail address as the password. If you are not using a web browser with built-in FTP capability, or if you want to upload files to a remote server, you need an FTP client program.

A web page is an electronic document written in a computer language called HTML, short for Hypertext Markup Language. Each web page has a unique address, called a URL or Uniform Resource Locator that identifies where it's located on the network.

A website has one or more related web pages, depending on how it's designed. Web pages on a site are linked together through a system of hyperlinks, enabling you to jump between them by clicking.

When you browse the Word Wide Web you'll see the term home page often. Think of a home page as the starting point of a website. Like the table of contents of a book or magazine, the home page usually provides an overview of what you'll find at the website. A site can have one page, many pages or a few long ones. If there isn't a lot of information, the home page may be the only page. But usually you will find at least a few other pages.

Web pages vary wildly in design and content, but many use a traditional magazine format. At the top of the page is a masthead or banner graphic, then a list of items, such as articles, often with a brief description. The items in the list usually link to other pages on the site, or to other sites. Sometimes these links are highlighted words in the body of the text, or are arranged in a list, like an index. They can also be a combination of both. A web page may also have "hot" images that link to other content.

How can you tell which text are links? Text Links appear in a different color from the rest of the text--typically in blue and often underlined. When you move your cursor over a text link or over a graphic link, it changes from an arrow to a hand. The hypertext words often hint at what you will link to.

When you return to a page with a link you've already visited, the hypertext words will often be in a different color, which indicates that you've already been there. But you can certainly go there again by clicking the link. Don't be surprised though, if the next time you visit a page it looks different and the information has changed. The Web is a dynamic medium. To encourage visitors to return to a site, many web publishers update their sites frequently. That's what makes browsing the Web so engaging.

Share Your Digital Photos

Digital cameras and camera phones have certainly captured the public eye. Last year consumers bought over 500 million of them. The chances are that you already have one of these handy devices and have amassed a pile of pictures.

Part of the fun of photography is sharing your images with friends and family. Traditionally, people have made prints from their film. With a color printer, you can easily print your digital files at home--no need to spend money for film processing anymore. But with digital photos you have some 21st century options: e-mailing your images or sharing them online.

E-mailing: Just Attach and Send

E-mailing can be quick and simple--all you have to do is download the pictures from your camera to your computer, select the ones you want and attach them to your message. (If you need help with this, see our step-by-step instructions for attaching files.) But before you click the Send button, keep these things in mind:

Digital images are typically stored as jpeg files (you'll notice the .jpg file extension at the end of the file name). With today's megapixel cameras, snapping a photo at high resolution can result in an image with a very large file size, sometimes .5 megabyte or more. If you plan to print your photos, you want high resolution images, since they provide sharper, clearer prints. But e-mailing high resolution images presents some problems.

Without a broadband connection, it can take a long time to send these huge files. The same is true for the recipient--downloading large attachments over a dial-up connection can try anyone's patience. Also, large files may clog the recipient's mailbox or worse, be rejected because it's over the account limit. So what do you do?

If you don't plan on making prints, then shoot at low resolution, say 600 x 800 pixels. Most cameras let you set the image size. An added benefit is that because the images are smaller, you can store more of them in the camera's memory.

Another option is to shoot at high resolution, then reduce the file size of the photos you want to e-mail. You can do this a few different ways. If you use Microsoft Outlook, there's a handy feature that will automatically reduce the size of photo files. After you attach the photos, click on the Attachment Options button, then select the appropriate setting.

Many digital cameras now come with photo editing software that you can install on your computer. For under US $100, you can buy programs such as Photoshop Elements and Paint Shop Pro that easily reduce file size, as well as a lot of other useful things. Once you've reduced your masterpieces to a manageable size, just attach and send.

How to Download Files

Downloading Files refers to the method by which you access digital information from a remote computer. As it turns out, almost everything you do on the Web is some form of downloading. For instance, when you access a web page, you are actually downloading the text document and all its associated graphics from a web server. As the digital data arrives, your web browser assembles it on your screen.

Another way to download a file is to click on a link with your right mouse button (or hold the mouse button down if you are using a Mac), and select Save to Disk or Save Target As... From the pop-up menu. In some cases, you will be prompted to save the file somewhere on your hard drive, or the file may download automatically to your desktop, depending on how your browser is configured.

Saving an Image

Once a graphic or photo is displayed on your monitor, you may want to save it for future reference. Here's how to do it:

1. First, place your cursor over the graphic.

2. Windows users: Click your right mouse button. A pop-up box appears. Macintosh users: Click and hold the mouse button until the pop-up box appears.

3. Save the image to your hard drive by selecting the Save Picture AS option.

Compressed and Self-Extracting Files

With software, more often than not, you will be downloading files that have been compressed. These may be individual files or groups of files that have been compressed into a single file. This is done to save downloading time and disk space. If the files have been compressed, you need a separate software utility to decompress them.

The exceptions are self-extracting files, those with a .sea (Macintosh) or .exe (Windows) extension. These files do not require a separate software program to run. Because many files take considerable time to download to your computer, you will want to save yourself the headache of discovering, after the fact, that you downloaded a file that won't run on your computer. Every day, tens of millions of people use electronic mail to conduct business and to communicate with friends and family. But if you think your e-mail is private, guess again.

E-mail is no more private than a postcard. Where Has All the E-mail Gone?

Tips for communicating more effectively

When we converse, we expect other people to observe certain rules of behavior. The same is true for e-mail, the most popular form of online communication. Here are a few pointers to help you communicate more effectively.

Clearly summarize your message in the subject line.

Properly titled messages help people organize and prioritize their e-mail.

Don't use the CC (Carbon Copy) function to copy your message to everyone.

This is particularly true at work. These days everyone receives too much e-mail. Unnecessary messages are annoying. If only a few people really need to receive your message, only direct it to them.

Similarly, when responding to e-mail, do not respond to all recipients. By choosing Reply to All or a similar button when responding to a message, you may end up broadcasting your response to your entire company.

Use BCCs (Blind Carbon Copies) when addressing a message that will go to a large group of people who don't necessarily know each other.

Just as it's not polite to give out a person's telephone number without his or her knowledge, it's not polite to broadcast everyone's e-mail address. For instance, when you send a message to 30 people and use the To or CC fields to address the message, all 30 people see each other's address. By using BCC, each recipient sees only two--theirs and yours.

Keep your messages short and focused.

Few people enjoy reading on their computer screens; fewer still on the tiny screens in cell phones, PDAs and other mobile devices that are becoming increasingly popular. Recipients tend to ignore long messages.

Avoid using all capital letters.

Don't write anything you wouldn't say in public.

Anyone can easily forward your message, even accidentally. This could leave you in an embarrassing position if you divulged personal or confidential information. If you don't want to potentially share something you write, consider using the telephone.

Use a smiley to make sure that a statement is not misunderstood.

Smilies are typically used in personal e-mail and are not considered appropriate for business. They should rarely be used in the office. If your message needs a smiley for better understanding, most likely you should not be delivering it via e-mail. Even with a smiley, someone may misunderstand you. Similes should be used to support a statement. It's rude to write something mean or derogatory, then place a happy smiley at the end of the sentence. Avoid sending e-mail to large numbers of people unless you have a serious reason to do it.

E-mail broadcast to many recipients may be considered spam.

Nasty e-mail should also be avoided.

These messages have their own term: flame. Flame e-mail is an insulting message designed to cause pain, as when someone "gets burned."

As a courtesy to your recipient, include your name at the bottom of the message.

The message contains your e-mail address (in the header), but the recipient may not know that the return address belongs to you, especially if it's different from your real name.

NOTE E-mail etiquette may take a while to learn, but don't let your fear of making mistakes inhibit you. All Internet users were beginners once, so most people are quite forgiving.

Once you start using the Internet, you'll notice people talking about joining lists and participating in groups. While there are thousands of ongoing newsgroups and forums on different subjects, there are also thousands of e-mail list discussions as well.

What's the difference? Newsgroups and forums are public discussions that anyone can subscribe to and participate in. You read what members have written and post replies if you choose. Think of it as an electronic bulletin board. On the other hand, a mailing list is a list of e-mail addresses of people interested in the same topic.

Types of Lists

Mailing lists can be public or private, with as few as two participants or many thousands. Mailing lists are often used to provide subscribers with current information. For music fans, that might include upcoming concert dates or ticket purchasing details. Generally, there are two types of lists:

Announcement-type lists, where you receive messages, but can't post to the list yourself.
Discussion-type lists, where everyone on the list can participate. When a list subscriber sends a message, it goes to everyone on the list. You can reply to messages you receive, send new messages, or just read the messages without participating.

The key advantage of a mailing list over a newsgroup is that instead of having to go somewhere to read or retrieve postings, messages are automatically delivered to your e-mail box.

All of this traffic is automatically managed by programs called Mailing List Managers (MLMs). Two popular ones are Listserv and Majordomo.

Subscribing

To join a mailing list, all you need is an e-mail address. To subscribe, you send a message to the list administrator (this is usually not a person, just an automated process) and your e-mail address is added to the list. Subscribing to a mailing list is usually free. After you subscribe, you should receive a reply giving you details about the list and how to participate. Soon, you'll begin receiving mail.

To be removed the mailing list, you have to unsubscribe by sending an e-mail message to the list administrator. Typically, in the body of the message you type something like unsubscribe followed by the name of the list and your e-mail address. The process varies from one list to another, depending on what MLM is in use. Check the instructions you received.

If you don't want to be overwhelmed with a daily flood of e-mail messages, subscribe to the digest version, if one is available. A digest provides a periodic summary of the messages. Some digests are now posted on the Web so you can access them with your web browser, avoiding the traffic in your e-mail box altogether.

Some Mailing Lists Tips

Subscribe to one or two mailing lists at a time. Wait to see how many messages you receive before subscribing to any others.
Save the list subscription instructions. After you subscribe, you will get a response with instructions on how the list works, and perhaps most important, how to unsubscribe. Read and save these instructions. It's bad netiquette to send messages to the list requesting help in unsubscribing.
Turn off the list when you go on vacation. It's like stopping your newspaper delivery. Some lists offer a vacation option. For others, you have to unsubscribe, then re-subscribe when you return. A high traffic list can generate hundreds of messages a day, overloading your mailbox.

What most annoys Internet users? The answer is a four letter word: spam, those obnoxious, unsolicited e-mail messages touting get rich quick schemes, miracle diets, amazing beauty products and pornographic pleasures. Unlike paper junk mail, which senders pay for, spammers pay almost nothing to e-mail millions of their offensive messages. It's your ISP and ultimately you that have to bear the cost of transmitting unwanted e-mail across the Net. AOL, MSN, Earthlink, Yahoo! and other e-mail providers try to block spam before it reaches your mailbox, but their efforts are only partially effective.

Some countries have laws against spam and some spammers have been fined for their actions, but the practice continues. In fact, it's increasing. Why, you may wonder, when spammers are universally despised? Because it works. Sending e-mail in bulk is so cheap that even if only a handful of people respond, there's a profitable payoff for the spammer.

Unfortunately, spam is here to stay. That doesn't mean you have to be an innocent victim. Here's how to fight back:

Protect your e-mail address.

Spammers either buy lists of e-mail addresses or use software programs that mine the addresses from the Internet. If your address is posted in discussion groups, on websites, chat rooms, blogs, etc., the chances are that it will end up on one or more of these lists. Only post your address publicly when absolutely necessary.

Set up multiple e-mail accounts.

If you do participate regularly in online activities where you post your address, then set up another e-mail account. Only give it to close friends and family.

Each day billions of e-mail messages zap across the Internet. If it seems that most of them make their way to your Inbox, you're not alone. "Overwhelming" is how many people feel about this electronic communication. The bad news is that it will only get worse as the popularity of e-mail increases. The good news is that you can avoid drowning in a sea of messages by following some simple steps.

Establish separate business and personal accounts.

Keep your personal and professional lives separate, especially since employers in many countries can legally review messages on company mail server. Do you really want your boss reading those off-color jokes? Having a separate personal account also means you aren't dealing with personal business on company time.

Develop a routine.

Answer your e-mail at set times during the day--perhaps the first thing in the morning, then mid-afternoon. This prevents incoming mail from interrupting other things you may be doing.

Set up your e-mail software for rapid review.

With e-mail programs such as Microsoft Outlook, you can customize the multi-pane display for quick viewing. Ideally you want to see who the sender is, the subject and be able to read the first few lines of the message. That way you don't have to open every message to discern its content.

Scan new messages and delete spam immediately.

Junk e-mail has become a fact of electronic life, so turn them to your advantage. Quickly review the message subject line and scan a line or two to identify spam. Now use the Delete key. Weeding out spam reduces your Inbox by half or more, providing a psychological boost when you only have fifty messages to deal with, instead of one hundred!

To further reduce the volume of mail, use filtering tools built into your e-mail program. They let you block messages sent from certain addresses, an excellent way to reduce spam. You can also automatically route messages from certain addresses into folders you set up. For instance, if you belong to a discussion group, messages will go directly into that folder, instead of your Inbox.

Organize messages into folders.

Create a series of folders to categorize your e-mail, using action items (pending, review etc.) and subjects (travel, newsletters, etc.). After you receive messages, file them away for later action and reference. Messages remaining in your Inbox are those requiring immediate action. Reply, then file them too.

Use short responses.

Everyone is pressed for time, so keep replies brief and to the point. E-mail has developed its own shorthand that doesn't require the formal response of a letter.

Prepare boiler plate responses.

You may find that you are often asked the same questions. To save time and avoid retyping the answers, just cut-and-paste a prepared reply. You can then edit it as required.

Here's how to e-mail documents, spreadsheets, photos or any other type of file. We're using Microsoft Outlook, but most e-mail programs, even Web-based e-mail like Hotmail and Yahoo! Mail, work the same way.

Open your e-mail program, launch a new message window and compose your message

Click the attachment icon (the paper clip) or insert the file by selecting from the drop-down menu.

Browse your hard drive or removable disks to locate the file you want to attach. Click it to highlight the name, then click the Insert button

An icon or message should now appear indicating that the file has been attached

Finally, click the Send button and off it goes!

Attaching File

With the advent of an Internet protocol called MIME, Multipurpose Internet Mail Extension, and other types of encoding schemes, you can send formatted documents, photos, sound and video files as attachments to your e-mail messages.

These protocols use a complex mathematical formula to convert files to text and then back to their original form. This conversion process is known as encoding and decoding. If the person to whom you are sending an attachment uses a MIME-compliant or UUencode e-mail program--and most popular programs do--it will automatically detect the attachment, decode it, and either open it or prompt the recipient to save the file. This process is mostly invisible to you.

Before you send binary files or formatted documents as attachments, make sure that the person you are sending them to has the ability to open the files. For instance, if you send a spreadsheet created in Excel, the recipient will need that program to view the file.

By the way, don't confuse encoding a file with encrypting a file. Encoding files adds no security. Anyone with the right decoding software can view it.

How to Do It

The procedure for attaching files varies depending on the type of e-mail program you use. In general, you click on an icon, such as a paper clip, located on the toolbar of the program. You then select the file you want to attach by locating it on your hard drive or on disk. Once you've selected the file, either its name will appear as part of the e-mail header, or as an icon within the body of your message. Most programs allow you to attach multiple files, but may limit the size of the files to no more than 10 Mb. Once the files are attached, click the Send button and off they go.

1. E-mail is by far the most popular service on the Internet. Sending messages is a snap. Just follow these simple steps. (Although our demonstration uses Microsoft Outlook, most e-mail programs work the same way.)
Open your e-mail program and launch a new message window by clicking on the appropriate icon.

2. In the TO box, type the name of the recipient. It should take this form: comments@learnthenet.com. Make sure you enter the address correctly or the message will return to you.

You can send a message to more than one person by entering multiple addresses. Just put a semicolon (;) between each address.

You can also send a copies (Cc:)and blind copies (Bcc:) to multiple addresses.

3. Type the subject of the e-mail

4. Write your message in the message window. You can also copy text from a word processing program and paste it into the window.

5. Click on the Send icon or select Send from the File menu.

Understanding E-Mail Addresses

Internet e-mail addresses typically have two main parts: the user name and the domain name.

Here's an example:
professor@learnthenet.com

professor is the user name and refers to the recipient's mailbox. After the @ sign comes learnthenet, the host name, also called the domain name. This refers to the mail server, the Computer where the recipient has an electronic mailbox. It's usually the name of a company or organization.

Top-Level Domains

The end of the domain name consists of a dot (".") followed by three or more letters (such as .com and .gov) that indicate the top-level domain (TLD). This part of the domain name indicates the type of organization or the country where the host server is located.

These top-level domains are currently in use:

.aero--For the air-transport industry

.biz--Reserved for businesses

.com--For businesses, commercial enterprises, or online services like America Online. Most companies use this extension.

.coop--Reserved for cooperatives

.edu--For educational institutions and universities

.gov--Reserved for United States government agencies

.info--For all uses

.int--For organizations established by international treaties

.mil--For the United States military

.museum--For use by museums

.name--For use by individuals

.net--For networks; usually reserved for organizations such as Internet service providers

.org--For non-commercial organizations

.pro--For use by professionals, such as attorneys and physicians

For e-mail addresses outside of the United States, there is often a two letter country code. For instance, .ca indicates Canada, .uk indicates the United Kingdom and .mx indicates Mexico. Here's a complete list of Internet country and territory codes.

The header contains the name and e-mail address of the recipient, the name and e-mail address of anyone who is being copied, and the subject of the message.

How to Work E-mail

It can take days to send a letter across the country and weeks to go around the world. To save time and money, more and more people are relying on electronic mail. It's fast, easy and much cheaper than the using the postal service.

What is e-mail? In its simplest form, e-mail is an electronic message sent from one device to another. While most messages go from computer to computer, e-mail can also be sent and received by mobile phones, PDAs and other portable devices. With e-mail, you can send and receive personal and business-related messages with attachments, such as photos or formatted documents. You can also send music, video clips and software programs.

Let's say you have a small business with sales reps working around the country. How do you communicate without running up a huge phone bill? Or what about keeping in touch with far-flung family members? E-mail is the way to go. It's no wonder e-mail has become the Internet’s most popular service.

Just as a letter makes stops at different postal stations along the way to its final destination, e-mail passes from one computer, known as a mail server, to another as it travels over the Internet. Once it arrives at the destination mail server, it's stored in an electronic mailbox until the recipient retrieves it. This whole process can take seconds, allowing you to quickly communicate with people around the world at any time of the day or night.

Sending and Receiving Messages

To receive e-mail, you need an account on a mail server. This is similar to having a postal box where you receive letters. One advantage over regular mail is that you can retrieve your e-mail from any location on earth, provide that you have Internet access. Once you connect to your mail server, you download your messages to your computer or wireless device, or read them online

To send e-mail, you need a connection to the Internet and access to a mail server that forwards your mail. The standard protocol used for sending Internet e-mail is called SMTP, short for Simple Mail Transfer Protocol. It works in conjunction with POP--Post Office Protocol--servers. Almost all Internet service providers and all major online services offer at least one e-mail address with every account.

When you send an e-mail message, your computer routes it to an SMTP server. The server looks at the e-mail address (similar to the address on an envelope), then forwards it to the recipient's mail server, where it's stored until the addressee retrieves it. You can send e-mail anywhere in the world to anyone who has an e-mail address.

Short for electronic mail, the transmission of messages over communications networks. The messages can be notes entered from the keyboard or electronic files stored on disk. Most mainframes, minicomputers, and computer networks have an e-mail system. Some electronic-mail systems are confined to a single computer system or network, but others have gateways to other computer systems, enabling users to send electronic mail anywhere in the world. Companies that are fully computerized make extensive use of e-mail because it is fast, flexible, and reliable.

Most e-mail systems include a rudimentary text editor for composing messages, but many allow you to edit your messages using any editor you want. You then send the message to the recipient by specifying the recipient's address. You can also send the same message to several users at once. This is called broadcasting.

Sent messages are stored in electronic mailboxes until the recipient fetches them. To see if you have any mail, you may have to check your electronic mailbox periodically, although many systems alert you when mail is received. After reading your mail, you can store it in a text file, forward it to other users, or delete it. Copies of memos can be printed out on a printer if you want a paper copy.

All online services and Internet Service Providers (ISPs) offer e-mail, and most also support gateways so that you can exchange mail with users of other systems. Usually, it takes only a few seconds or minutes for mail to arrive at its destination. This is a particularly effective way to communicate with a group because you can broadcast a message or document to everyone in the group at once.

Although different e-mail systems use different formats, there are some emerging standards that are making it possible for users on all systems to exchange messages. In the PC world, an important e-mail standard is MAPI. The CCITT standards organization has developed the X.400 standard, which attempts to provide a universal way of addressing messages. To date, though, the de facto addressing standard is the one used by the Internet system because almost all e-mail systems have an Internet gateway.
